That was my previous point and why I wanted to use Database mode. They question remains how do I refresh the data in the database? Every Sunday we upload a new file to that folder and how do we tell the database to rescan the folder?

You should to do it manually using Commedia component.

How do I do that?

In administration panel. There's Commedia - Elements menu item there. You have to go there, enter path to Your folder and click on Start button to scan folder.

ok - is there anyway to create a URL to trigger this. So that I can have someone click a link when they upload a new file?

No. You can do it using administration panel only.
